Event Run Sheet Builder

List the activities with their start time, length and track, and who runs each one and where. The run sheet numbers the cues per track (A1, A2, B1), sorts everything by time and carries on past midnight onto the next date.

Activities in different tracks can run at the same time. Two activities that overlap in the same track are flagged on the sheet, so a clash is seen before the day. The guest programme prints only times, activities and places: crew-only items, owners, instructions, equipment and contact details are left out.

How to use the Event Run Sheet Builder

  1. Choose a template: a landscape cue grid, cue notes with full instructions, or a clipboard sheet with large type, a Done box and room to write.
  2. Enter the event name and date, then the owners (with an optional private contact) and the locations.
  3. Add each activity with its start time, length in minutes, track, owner, location, an optional picture, and whether it is for the crew only.
  4. Set when the day starts: earlier start times belong to the next day, after midnight.
  5. Choose the production run sheet or the guest programme, then Create document. The CSV download lists the same activities.

Example

A lantern festival on Saturday 21 November: Stage cues A1 to A7 and Crafts cues B1 and B2, the welcome and the choir flagged for overlapping on the stage, a late set ending at 00:45 the next day, and a guest programme without the bump-in, bump-out or phone numbers.

What it does not do

  • It covers one event day (with anything running past midnight). Several days need one run sheet each.
  • Overlaps are only flagged; the sheet does not move anything. Activities without a start time are listed as unscheduled.
  • Pictures come from a small set of plain shapes. A logo is optional and must be one you have the right to use.
  • Up to 250 pages and 500 entries in any list.
